The primary function is to assist the Associate Chair for Clinical and Administrative Affairs and the Psychiatry Hospital Services Administrator in the Department of Psychiatry with day-to-day office functions, project coordination, and operational support for departmental faculty and staff with a high level of organization and expertise. Basic foundation in administrative office support and understanding of health system operations is needed. This position will work under general supervision, but will exercise autonomy in problem-solving and decision-making around complex tasks, and will require a high degree of professionalism and discretion with sensitive information.
Provide administrative and calendar management support to the Associate Chair for Clinical and Administrative Affairs and the Psychiatry Hospital Services Administrator
Under supervision, coordinate small projects with moderate complexity supporting clinical and administrative operations utilizing technical skills in project management, planning, scheduling, task management, status reporting, and tracking systems
Provide general administrative office support, including supplies inventory and ordering, facilities and maintenance requests, and general environmental management
Provide operational support to the Adult Psychiatry Consult-Liaison service
Support the onboarding and offboarding process for departmental faculty and staff
Provide coordination support for the interview and recruitment process for faculty and staff candidates
Provide administrative support for committee meetings including creating agenda, documenting minutes, and scheduling
Support annual documentation and reporting requirements for regulatory bodies including Joint Commission, CMS, etc.
Support updating and management of policies in the PolicyStat system
Provide cross-coverage for other Psychiatry hospital services administrative staff
Serve as an administrative resource for faculty and other administrative staff
Other duties as assigned
A minimum of 4 years of office administration support and/or business operations experience
Proficient in Microsoft Office applications and calendar support
Outstanding written, verbal communication, and organizational skills
Attention to detail and accuracy
Excellent customer-service skills and ability to follow through on tasks
Ability to prioritize effectively and manage multiple tasks in a fast-paced office environment with competing deadlines
Ability to collaborate as part of a high-functioning team, and to function independently with a moderate degree of autonomy
Ability to work primarily onsite, with some flexibility for remote work
Prior experience in an academic healthcare setting, with understanding of health system operations, protocols, and procedures
Progressive experience in office administration and/or business operations
Prior experience working with physicians and other clinical providers and staff
Proficient in Microsoft Excel data manipulation and analysis
Schedule will generally be predominantly onsite Monday-Friday, 8:00am – 5:00pm. Some flexibility with hours and telecommuting may be possible.
