The eBuilder System Administrator is a member of the Facilities Business Operations Center at Vanderbilt University and is a key contributor with responsibility for providing essential support in the launch of a new Capital Planning and Project Management System (CPPMS), eBuilder. This position will function as the primary eBuilder administrator for day-to-day operations, working with two part-time administrators that perform specialty functions that include the initial implementation, system change management evaluations and workflow designs, and functional back-up for the primary administrator. Reporting directly to the Senior Director of Systems this person is a key player in the planning, implementing, testing, managing, and training of eBuilder to meet university strategic and facilities goals. The System Administrator will be required to be highly responsive and able to prioritize end user needs.
The Facilities Systems team provides technology support for Facilities, including Plant Operations, Campus Planning & Construction, Real Estate, BOC (Business Operations Center) and SEMO (Sustainability & Environmental Management Office). We support a newly implemented construction management system (e-Builder), a mature and growing enterprise work management system (AiM), GIS (Graphical Information Systems) mapping and other systems for operations' support. As part of the Systems team, FIS (Facilities Information Service) is responsible for maintaining the Facilities Information Library containing over 100,000 digital construction documents, GIS/mapping services and the space accounting for the University. The Space Accounting area is responsible for the creation and maintenance of floor plans for university buildings to support the mapping functions and the annual space inventory conducted within AiM Space; the data is used to document occupancy and square footage data used to calculate the Indirect Cost Recovery rates used by the Office of Contracts & Grants Accounting.
SIS (Service & Information Systems), is our work management call center, and is another part of the Systems team. This group fields calls from faculty, staff and student representatives and serves as the single point of contact for all Vanderbilt University departments to Plant Operations. SIS is the first line of communications for maintenance and service requests for campus buildings, grounds, and utilities. SIS receives approximately 44 calls per day and creates 2,400 work orders a month. Facilities annual budget exceeds $100 million in operating expenses and includes over 450 employees. Facilities manages major capital project expenditures totaling ~$125 million annually and facility renewal, replacement and large maintenance project expenditures totaling ~$20 million annually. The Facilities Business Operations Center provides support to the entire Facilities department, specifically in regard to the areas of Finance, Employee Relations, Systems, Contracts and General Administration
Duties and Responsibilities * Provides support for all eBuilder issues in a system administrator capacity, including the following: # Project setup # User provisioning (add, delete, modify roles) # Template maintenance (documents, budgets, schedules, mail merges) # Account configuration changes # Onboarding and training of new users # User technical support # User training # Manage report and folder subscriptions # Produce reports/dashboards as required by facilities leadership. # Review monthly and quarterly product release notes - educate university's user base regarding new functionality and product enhancements. * Applies technical and functional project lifecycle knowledge to the delivery and improvement of the eBuilder application. * Works with facilities leadership, the eBuilder core team and other eBuilder system administrators to implement any required account level modifications which include modifications of data fields, reports, dashboards and templates. * Works cooperatively with customers to ensure that value-added technical service and project needs are met in a timely and responsive manner (this involves a combination of systems analysis, data extraction, report generation, problem-solving, and training). * Assists other eBuilder system administrators in system process change documentations and approvals. * Develops and maintains training material for eBuilder users, including both internal Vanderbilt customers and external vendors/partners. * Training opportunities may include hosting monthly training workshops and other outreach opportunities, as well as producing and maintaining informational guides for use on the facilities website.
Profile of an Ideal Candidate # A bachelor's degree from an accredited institution is required. # A bachelor's degree in computer science or related technology is strongly preferred. # At least six months' experience supporting systems is required # Two years' experience in system support is preferred. # Database administration skills are preferred. # Strong troubleshooting and problem-solving skills is required. # Ability to independently organize and prioritize work across multiple assignments is required. # Ability to foster a highly collaborative work environment and work effectively across multiple campus departments and organizations in the adoption, utilization and support of software is required. # Strong verbal, written and interpersonal skills is required. # Hands-on experience with implementing multiple enterprise-level software applications; identifying user requirements, system design, user training, system and user documentation; and managing timelines, deployment, and user access/security is preferred. # Experience providing application support of enterprise software, including system maintenance (managing users, upgrades, patches, and test plans), user support, troubleshooting issues, and prioritization of requested enhancements is preferred. # Knowledge of construction industry, including methodology, terminology, workflow/paper flow of design and construction activities is preferred. # Hands-on experience with a Project/Construction Management Information System such as e-Builder is preferred.
